If you serve customers in multiple countries, your CMS needs to handle this gracefully. Can you manage translations efficiently? Does the system prevent you from accidentally publishing incomplete translations? Can you maintain country-specific content variations while sharing core content?

This deserves more consideration than most organizations give it. A CMS that handles localization poorly becomes a scaling bottleneck as you expand internationally.

6. Search and Discovery

How will your editors find content? If you have thousands of articles, blog posts, product descriptions, and campaign assets, searchability matters enormously. Can you filter by content type, status, author, modification date? Does full-text search work well? Can you organize content into folders or collections?

A CMS with poor search forces editors to dig through endless lists. Over time, editors stop using the system effectively. They duplicate content instead of reusing it. They can't find what already exists. Productivity plummets.

7. Scalability and Performance Characteristics

How many concurrent editors can your CMS support? How many API requests per second? How much content can you store? What are the response time guarantees?

If your organization has strong technical capabilities and values control, a more flexible, API-first platform that requires more implementation work might be ideal.

Consider your vendor relationship style. Do you want a close partnership with responsive support, or do you prefer self-service with community support? Does your organization prefer managed, SaaS solutions or the control of on-premise deployment?

These aren't technical questions, but they profoundly affect whether a CMS decision succeeds or fails.

The Hidden Cost: Migration Inertia

One factor dominates most CMS decisions but rarely gets discussed openly: switching costs. Your CMS will accumulate content, integrations, custom workflows, and dependencies. The larger this accumulation, the more expensive it becomes to change.
